This Privacy Policy describes how Daily Evolution LLC ("we," "us," or "our") collects, uses, and protects your information when you use our AI-powered daily work dashboard service, including the DailyDashboard web application and the DailyDashboard Meeting Capture Chrome extension (collectively, the "Service").
1. Information We Collect
1.1 Information You Provide
- Account Information: Name, email address, profile picture, and other information when you sign up or update your profile
- Client Data: Information about your clients, projects, and business relationships
- Meeting Data: Meeting notes, summaries, decisions, and related content
- Task and Initiative Data: Tasks, initiatives, and project management information
- Communication Data: Messages, comments, and other communications within the Service
1.2 Information We Collect Automatically
- Usage Data: How you interact with the Service, features used, and performance data
- Device Information: Browser type, operating system, device identifiers, and IP address
- Log Data: Access times, pages viewed, and other server logs
1.3 Information Collected by the Chrome Extension
If you use the DailyDashboard Meeting Capture Chrome extension, we additionally collect:
- Meeting Transcripts: Live captions and transcript text captured from supported video meeting platforms (Google Meet, Zoom web, and Microsoft Teams web) during meetings where captions are enabled
- Meeting Metadata: Meeting title, start and end times, platform, and participant names as displayed in the meeting interface
- Chat Messages: In-meeting chat messages from supported platforms, if available
- Local Storage: Transcripts and settings are stored locally in your browser using Chrome's storage APIs until synced to your DailyDashboard account
Important: The Chrome extension captures caption text that is already displayed on your screen by the meeting platform. It does not record audio, video, or screen content. Captions must be enabled by a meeting participant for capture to occur.
1.4 Information from Third Parties
- Google Services: Information from Google Calendar, Google Drive, and other Google services you connect
- Authentication: Information from Google Sign-In and other authentication providers, including via the Chrome extension's sign-in flow
- OpenAI: AI processing and analysis of your content to generate insights and summaries

- Match meeting transcripts captured by the Chrome extension to your calendar events

3. How We Share Your Information
3.1 We Do Not Sell Your Data
We do not sell, rent, or trade your personal information to third parties.
3.2 Service Providers
We share information with trusted service providers who help us operate the Service:
- Google: Authentication, database, hosting services, Calendar, Drive, and other Google services integration
- Stripe: Payment processing and subscription management
- OpenAI: AI processing and content analysis services
- Resend: Email delivery and communication services
3.3 Google Drive Access via Service Account
Transparency: Daily Evolution LLC uses a Google Cloud service account to automate processing of
files you store in Google Drive. You explicitly share specific folders (for example,
your meeting transcripts folder or client knowledge base folders) with our service
account, and we access only the content contained in those shared folders.
- What the service account can access: Only folders/files you have shared with it (Viewer access) or that were created by the app on your behalf.
- Why we use it: To detect new/updated files and automate ingestion so insights are kept up to date without manual steps.
- User-token preference: When feasible, the app will use your own Google token for content reads; the service account is primarily used for automation and change detection.
- How to revoke: You can remove the service account’s access at any time from Google Drive sharing, or from the app via the “Disconnect” action which calls
/api/drive/folder/disconnect.
3.4 Chrome Extension Data Handling
Transparency: The DailyDashboard Meeting Capture Chrome extension accesses web page content on supported meeting platforms (Google Meet, Zoom web, Microsoft Teams web) solely to read live caption text displayed during meetings. No data is collected from pages outside of active meetings on these platforms.
- Local-first storage: Transcripts are stored locally in your browser and optionally downloaded as text files. They are only transmitted to DailyDashboard servers if you sign in to your DailyDashboard account within the extension.
- Browser permissions: The extension requests access to meeting platform domains to read caption text,
storage to save settings and transcripts locally, identity for Google Sign-In, and downloads to save transcript files.
- No background tracking: The extension only activates on supported meeting platform pages. It does not monitor browsing activity, collect data from other websites, or run in the background when no meeting is active.
- Uninstall: Uninstalling the extension removes all locally stored data. Transcripts previously synced to your DailyDashboard account remain in your account and can be deleted from there.
3.5 Legal Requirements
We may disclose your information if required by law or to protect our rights and safety.
4. Data Security
We implement appropriate technical and organizational measures to protect your data, including:
- Encryption of data in transit and at rest
- Regular security assessments and updates
- Access controls and authentication requirements
- Secure data centers and infrastructure
5. Data Retention and Deletion
We retain your information for as long as your account is active or as needed to provide the Service. You may request deletion of your account and data at any time by contacting us at privacy@dailydashboard.ai. Upon receiving your request, we will:
- Delete your account and all associated data within 30 days
- Remove your information from our active databases
- Provide confirmation of deletion
- Retain only minimal information required for legal compliance
Please note that some information may be retained in backup systems for a limited period as required for data recovery and legal compliance.
6. Your Rights and Choices
- Access: Request a copy of your personal information
- Correction: Update or correct inaccurate information
- Deletion: Request deletion of your account and data
- Portability: Export your data in a machine-readable format
- Opt-out: Unsubscribe from marketing communications
